Score an Applicant in Core

Enter scores for applicants from multiple places in Core.


1. Before starting

All Thalamus program users can enter scores for applicants. Where you enter your score is based on your role:

  • Program Residents and Program Fellows can score applicants from MySchedule or Thalamus Video. Your program will determine which Scorecard and scoring method to use when scoring each applicant

    • Note: Program Residents and Program Fellows do not have access to the Applicant page.

  • Program Directors, Program Administrators, and Program Coordinators can access scores from the Applicant Dashboard, the MySchedule page, Thalamus Video, or the Applicant Score module.

    • Note: Program Directors, Program Administrators, and Program Coordinators can view and manage all scores entered for an applicant.

Two scores can factor into how an applicant is evaluated:

  • Core Interview Score — calculated from the Core Scorecards or Competencies your program selects in Scoring Aggregation. Does not affect rank unless it is selected as an input to the Overall Score

  • Overall Score — combines the scoring inputs your program selects and determines the applicant's position on your default Rank List


2. Scoring an Applicant from the Applications page in Core

Important: Every required question must be completed before you click Submit in order to save your score. Otherwise, your Scorecard will show as In Progress, and will be excluded from the Core Interview Score, Cortex Application Score, and Overall Score until all required questions are completed and submitted.

 

Open the applicant's score panel

  1. Log in to Core
  2. Go to the Applications page
  3. Navigate to the applicant you want to score
  4. Click Scores and Notes on the right side of the applicant summary

The score panel will open on the right side of your screen. To widen it, click the left edge of the panel and drag left.

Note: The score panel is pinned by default so that it stays open while you complete the Scorecards. To unpin, click Score Panel Pinned at the top of the panel. The button will change to Score Panel Unpinned.

 

Review the score panel sections

The score panel contains four sections. Click the arrow on a section header to collapse or expand each section. A collapsed header will appear gray and an expanded header will appear teal.

  • Details — Applicant details, such as medical school and AAMC ID
  • Documents — Documents associated with the applicant, such as ERAS application, CV, and letters of recommendation. Clicking a document link will open the document in a new tab
  • Scoring — The Scorecards available for the applicant
  • Notes — Quick notes you add about the applicant during review

Complete the Scorecard

  1. In the Scoring section, select the correct Scorecard. The selected Scorecard will be highlighted
  2. Answer each numbered question on the Scorecard
    • Note: A comment box will appear only for questions where your program has enabled comments. If a question doesn't have a comment box, add a quick note in the Notes section instead.
  3. Click Submit

A timestamp will appear showing the date and time you submitted the Scorecard, and the Submit button will change to an Edit button.

Exit the score panel

Click the gray X in the upper-right corner to close the score panel. You can return to the Scorecard at any time by repeating these steps.


3. View and manage scores

Program Director, Program Administrator, and Program Coordinator roles can view and manage scores for any applicant from the Score Drawer.

  1. Select the numbered score in either the Interview Score or Overall Score column on the Applicant Dashboard

  2. Select Edit to change a submitted score

  3. Select Delete to remove a submitted score

4. Score from the Applicant Dashboard

Note: Program Residents and Program Fellows do not have access to the Applicant Dashboard. These users should navigate to MySchedule or Thalamus Video to score applicants.

 

  1. Select Applicants in the navigation menu

  2. Use the search bar or filters to locate the applicant you want to score

  3. Select the three-dot menu next to the applicant's name

  4. Select Score Applicant

  5. Follow the steps in Section 3 of this guide

  6. Select Submit once you've answered every question


5. Score from the MySchedule page

Note: Interview event itineraries only appear on the MySchedule page once they've been published. If you do not see an itinerary, contact your Program Administrator or Program Coordinator.

 

  1. Select Schedule, then select MySchedule

  2. Select the interview event from the left-hand side of the screen

  3. Select Score next to the applicant you want to score

    • Note: You can filter applicants by Scored or Unscored at the top right of the page.

  4. If you are scoring an applicant from a group event, select Score, then select the applicant's name from the list that appears


6. Score in Thalamus Video

Applicant scoring can be accessed directly during a Thalamus Video interview. 

  1. Select Score/Notes in Thalamus Video Chat

  2. Select the Scorecard you want to use from the dropdown

  3. Follow the steps in Section 3 of this guide

  4. Select Submit once you've answered every question

  5. If you are scoring an applicant from a group session, select Score/Notes, then select the applicant's name from the list that appears at the top of the score drawer
