Score an Applicant in Thalamus

All Thalamus Program Users can enter scores for applicants.  This guide will provide instruction on how to enter scores for applicants from multiples places within Thalamus including the:

  1. Applicant Dashboard
  2. MySchedule page
  3. Thalamus Video

The following score types are in Thalamus: 

  • Interview Score: Score that will not factor into rank.
  • Overall Score: Score that will automatically calculate applicant rank. 
  • Cortex Score: Cortex Score that automatically imports. The Cortex Score does not factor into the overall score nor will it effect the rank score.

Who can view scores?

  • Program Administrators, Program Directors and Program Coordinators can view all program user scores entered for applicants.
  • Program Interviewers, Program Residents and Program Fellows will be able to see the "Total Score" which is the total average score of all scores entered by all interviewers, but will NOT be able to view individual score categories entered by other program users, only their own score.

Entering a Score in the Applicant Score Module

Program Interviewers: Consult with your program to determine which score type, algorithm, and scale you should use when scoring an applicant.

The Applicant Score module is available on the Applicant and MySchedule pages.  

  1. The “Applicant Score” module will display applicant information and available scoring algorithms To enter a new score select the "Add Score +" icon
  2. The “Create Applicant Score” module will appear

  3. Select the Score Type to be applied to your score
    • Overall Score: Will be included in the rank score
    • Interview Score: Will not be included in the rank score
  4. Select the Algorithm to be used
  5. For each algorithm category, a score can be entered in the corresponding box
    Note: For any category left with a blank score, it will be calculated as zero points.
  6. If the category has a description, it can be viewed by selecting the description arrow
  7. Notes can be entered along with the score.  See Adding Notes to Applicants.
  8. Once all data has been entered, select “SAVE” to save score.

The score will then be displayed in the “Applicant Score” module listed by Interviewer (i.e. whichever program user inputted the score), the score (+ an average if there are multiple scores) and a timestamp from the last score update.

View and Manage Scores

Scores can be viewed and managed by accessing the Score Card for any applicant. 

  1. To view a score, select the "Score Applicant" from the 3 dot menu or navigate to the applicant dashboard and select the numbered score from either the "Interview Score" or "Overall Score" column.mceclip1.png
  2. To edit the score, select the “pencil” icon.
  3. To delete the score, select the “X” icon. Edit_Score.pngThis process may be repeated for additional scores, including “Overall Scores,” which will factor into applicant rank.

Scoring from the Applicant Dashboard

Applicant scoring can be conducted through the Applicant Dashboard. This section will review scoring applicants through the applicant dashboard. 

NOTE: Program Residents and Program Fellow roles do not have access to the Applicant page. Please refer to adding a note from the MySchedule or Video Chat.

  1. Select the Applicant page
  2. In the Applicant dashboard, use the search bar, filters, or other selection criteria to locate the applicant to be scored
  3. Click the “triple dot” menu next to that applicant’s name
  4. Select “Score applicant"

  5. Once the scoring module is open, use the Entering a Score in the Applicant Score Module instructions above to add and save a score. 

Scoring from the MySchedule Page

Program users can score applicants directly from the MySchedule page. 

Note the following:

  • This option is only available if you are scheduled for 1:1 sessions 
  • Interview event itineraries are only viewable on the MySchedule page once they have been published.  If you do not see an itinerary, contact your Program Administrator or Coordinator
  1. Click on Schedule and select "My Schedule"
  2. On the left hand side of the screen, select the interview event
  3. Users can filter by applicants who are "scored" or "unscored" at the top right of the page.
  4. Within the itinerary schedule, select the "Score" button next to the applicant you want to score.

  5. Once the scoring module is open, use the Entering a Score in the Applicant Score Module instructions above to add and save a score. 

Scoring in Thalamus Video

Applicant scoring can also be entered through the Thalamus Video Chat. This section will review scoring applicants through the Video Chat page.

  1. Navigate to the top of the screen and select "Add a Score"mceclip3.png
  2. The "Add Score" module will appear on the right hand side of the screen
  3. Select the Score Type to be applied to your score
    • Overall Score: Will be included in the rank score
    • Interview Score: Will not be included in the rank score
  4. Select the Algorithm to be used
  5. For each algorithm category, a score can be entered in the corresponding box
    Note: For any category left with a blank score, it will be calculated as zero points.
  6. If the category has a description, it can be viewed by selecting the description arrowmceclip2.png
  7. Save your score by selecting the "Save" icon"mceclip3.png
  8. View or Edit applicant score from the Interview Panel, navigate to the "Interview Panel" icon. The score will display within the Interview Panel. If you would like to edit the score, select the "pencil paper icon" icon.mceclip0.png
