Add a Quick Note or Score Note to an Applicant in Thalamus

All Thalamus Program Users can enter a Quick Note or Score Note for applicants.  This guide will provide instruction on how to enter scores for applicants from multiples places within Thalamus including the:

  1. Applicant Dashboard
  2. MySchedule Page
  3. Thalamus Video

Please note: For users enabled with the Thalamus Holistic Review scoring system, please reference: Add a Quick Note: Dashboard, My Schedule, Video - Thalamus Holistic Review

 

Please note the differences between a Score Note and Quick Note in Thalamus. 

  • Quick Note: Notes that are entered into an applicant record that was not submitted with an applicant score are considered “Quick Notes” (denoted by the “Q” symbol). 
  • Score Note: Notes that are entered through the scoring module are considered “Scoring Notes” (denoted by the “S” symbol).

NOTE: Program Residents and Program Fellow roles do not have access to the Applicant page

 

How to Add a Score Note

A Score Note can be added in addition to scoring an applicant.  This type of note can only be entered within the score window when adding/editing an Applicant Score.

Applicant Dashboard

Notes can be added through the Applicant Dashboard. This section will review adding a note for applicants through the applicant dashboard.

NOTE: Program Residents and Program Fellow roles do not have access to the Applicant page. Please refer to adding a note from the MySchedule or Video Chat.

  1. To add a note select the "paper" icon in the "notes" columnmceclip0.png
  2. Select the "add note" icon

  3. Add note in the free text space and select "save"

  4. To view notes select “paper” icon in the notes column.mceclip0.pngmceclip4.png
    NOTE: Program Administrators, Program Directors and Program Coordinators can view all notes entered for an applicants. Program Interviewers, Program Residents and Program Fellows can only see notes that they entered, they can not view notes entered by anyone else.
  5. This process may be repeated for additional scores, including “Overall Scores,” which will factor into applicant rank.

MySchedule

Notes can be added through the Applicant Dashboard. This section will review adding a note for applicants through the applicant dashboard.

  1. Select the note iconMySchedule-score.png
  2. Select the plus icon

  3. Type any notes into the “NOTE” box at the bottom of the module. Text may be formatted using the icons displayed at the top of the box.  These notes will be saved and linked to the score, defined as a “Scoring Note."
  4. Select save

Video Chat

  1. Navigate to the top of the screen and select "Add a Note"mceclip1.png
  2. The "Add Note" module will appear on the right hand side of the screen
    Please note: If you are a Program Administrator you will have the option to select an interviewer from the "Interviewer" drop down
  3. Add your note
  4. Select savemceclip2.png
  5. View or Edit applicant note from the Interview Panel, navigate to the "Interview Panel" icon. The note will display within the Interview Panel. If you would like to edit the note, select the "Edited Note" icon. mceclip0.png
