Cortex - Scoring Applications for Reviewers

Scoring in Cortex can be completed by program interviewers who are assigned applicants for review to determine which applicants your program wishes to invite to interview.

Program interviewers must first be assigned applicants to review by the program administrator, program coordinator, or program director. If you do not see any applicants when logging in to Cortex, please contact your program administrator.

Note: Program Director, Program Administrator and Program Coordinator will always see all applicants and may complete a scorecard at anytime for any application.

There are two places to score an applicant in Cortex: directly from the Applications page and within Applicant Details.

 

Scoring an Applicant in Cortex from the Applications page

  1. Log in to Cortex and ensure you are on the Applications page.

  2. Navigate to the applicant you will be scoring; on the left side of the applicant you will see a status indication that you have Not Started reviewing the applicant.

  3. On the right side of the applicant, click the “Edit” button next to the right of Cortex Score.

  1. The scoring drawer will pop up on the right side of your screen. You can widen the scoring drawer by clicking the left perimeter and dragging left. If you click outside of the drawer, the drawer will automatically close.

  2. Within the scoring drawer, you will see five sections. At any time you may minimize or maximize each of the following sections by clicking the up or down arrow on the section header. If you minimize, the section header will appear gray and if you maximize, the section header will appear teal.

    Note: The five sections will remain in Cortex and change based on context in Thalamus.

    a.   Recommended action: how you wish to proceed with inviting or not inviting the applicant for an interview
    b.   Details: applicant details such as medical school and Cortex score
    c.   Scoring: populates the available scorecards to choose from and applicable scorecard to score the applicant
    d.   Notes: where the reviewer can input notes on the applicant
    e.   Documents: any documents uploaded for the applicant such as ERAS application, CV, and letters of recommendation

  1. To score the applicant in the scoring drawer, first ensure that the correct scorecard is selected. The selected scorecard will be highlighted teal.

  2. Complete the scorecard by selecting answers to the numbered questions within the scorecard. A comment section will only appear if your program has enabled comments on any of the questions. If there are no comment boxes, you will have the ability to add a quick note in the notes section.

  3. As you complete the scorecard, an Average Score will automatically populate and update at the top of the scorecard based on the questions you have answered and the weight of the questions customized by your program.

  1. When you have completed the questions in the applicant’s scorecard, click Submit.

  2. After submitting the scorecard, a timestamp will appear indicating the date and time the scorecard was submitted. The Submit button will change to an Edit button. If you wish to go back and make changes to the scorecard, simply click the Edit button.

  3. You may exit the scoring drawer by clicking on the gray X in the upper right hand corner. You may return to the scorecard at anytime to edit by repeating these steps.

Scoring an Applicant from Applicant Details

  1. Log in to Cortex and ensure you are on the Applications page.

  2. Navigate to the applicant you will be scoring; on the left side of the applicant you will see an indication that you have Not Started reviewing the applicant.

  3. On the right side of the applicant, click the “View Details” button.

  1. When on the Applicant Details page, click on the orange Scores button. After clicking the Scores button, the scoring drawer will pop up on the right side of your screen. You can widen the scoring drawer by clicking the left perimeter and dragging left. If you click outside of the drawer, the drawer will automatically close.

  2. Continue with the same steps for Scoring an Applicant in Cortex from the Applications page above (steps 6-11).

After Submitting or Editing a Scorecard

When you have completed and submitted a scorecard, the Not Started progress indication under the applicant’s photograph (or avatar if photographs are blinded) will change to show as Submitted. If you return to the scorecard to edit, until you have resubmitted the scorecard, the status will show as. In Progress, the In Progress state is also activated upon response to the first question. This will allow you to incrementally complete a scorecard and easily see which are still in progress.
