Importing SOAP Applicants in Thalamus Core and Cortex (ERAS Programs)

Import SOAP applicants into Thalamus Core for your ERAS program. This guide covers the ERAS-specific import path.

Roles: Program Director, Program Coordinator, Program Administrator

  • Access to ERAS Program Director's WorkStation (PDWS)

Step-by-Step Instructions

To upload and view applications in Thalamus Core, the applications will need to be authorized to send from ERAS PDWS.  Note: You no longer are required to download a CSV file from the PDWS in order to upload applicants to Thalamus Core. 

NOTE: If you are reviewing applications in Cortex, please follow the exporting from Cortex to Core flow.  Do not reauthorize applicants from PDWS to Core. 

  1. Begin by logging in to ERAS PDWS
  2. Select "Application"
  3. Select all of the applicants that you want to authorize by checking them individually on your filter list or selecting all applicants
  4. One applications are selected, click "Actions"
    • Bulk Actions can be performed after applying a filter and selecting one or more applicants.
  5. Select "Authorize Data to Thalamus"
  6. The Authorize Data to Thalamus window will open
  7. Select "I authorize to send this to Thalamus Core"
  8. Click "Submit"

  9. Verify that your SOAP applicants appear on the SOAP tab with their data populated.

Things to Know

SOAP applicants are a separate pool. If you have already authorized applicants from ERAS for your regular recruitment season, SOAP applicants will appear on the SOAP tab — not your main applicant list. The two pools do not merge.

Success: Your SOAP applicants are visible on the SOAP tab of the Applicant Dashboard with their ERAS data populated.

Symptom Cause Fix
SOAP tab is not visible Your program does not have an active SOAP season Contact customercare@thalamusgme.com to confirm your SOAP season is activated.
"Add Applicants" button is not visible You may be on the main Interviews tab, or your SOAP season is not active Confirm you are on the SOAP tab  (not Interviews or Follow-Up Interviews). If the button still doesn't appear, contact customer care.
Applicants not appearing after import ERAS authorization processing delay ERAS authorization may take a few minutes to process. Refresh the page. If applicants are still missing after 15 minutes, contact customercare@thalamusgme.com.
