SOAP Email Templates

Create SOAP-specific email templates for invitation and interview confirmation messages sent to SOAP applicants.

Roles: Program Director, Program Coordinator, Program Administrator

Prerequisites: An active Thalamus Residency season for your program. Familiarity with Email Templates in Thalamus Core.


Why Create SOAP Email Templates?

Your existing recruitment season email templates may reference regular interview details that don't apply to SOAP. Creating separate SOAP-specific templates ensures applicants receive accurate information about their SOAP interview — including correct event dates, times, and any SOAP-specific instructions.


Step-by-Step Instructions

Create a SOAP Invitation Email Template

  1. Navigate to the Email tab from the upper menu bar.
  2. Select Interview Invitation from the left sidebar.
  3. Click "Create New Template".
  4. Name your template (e.g., "SOAP Thalamus Interview Invitation").
  5. Customize the subject line and body text for SOAP. Use shortcodes to auto-populate applicant and event details.
  6. Click Save.

Create a SOAP Interview Confirmation Email Template

  1. From the Email tab, select Interview Confirmation from the left sidebar.
  2. Click "Create New Template".
  3. Name your template (e.g., "SOAP Thalamus Interview Confirmation").
  4. Customize the subject line and body text for SOAP.
  5. Toggle Default Template to ON for this template.
  6. Click Save.

Things to Know

⚠️ The SOAP confirmation email template must be set as the default

The interview confirmation email is sent automatically when an applicant signs up for an interview. If you don't set your SOAP confirmation template as the default, applicants will receive your regular season confirmation email instead — which may contain incorrect details.

You do not need to delete your regular season templates. They will remain available. Simply set the SOAP template as the default during SOAP week, and revert after SOAP concludes if needed.

Shortcodes work the same way in SOAP templates as they do in regular templates. Use them to auto-populate program name, event date, event time, and other dynamic fields.
