SOAP Calendar Events

Create SOAP-specific calendar interview events for invited SOAP applicants to see and schedule interviews during SOAP week.

Roles: Program Director, Program Coordinator, Program Administrator


Step-by-Step Instructions

  1. Navigate to the Calendar page from the upper menu bar.
  2. Click to create a new event on your desired SOAP interview date.
  3. In the Create Event modal, set the Event Type dropdown to "SOAP Event".

  1. Fill in the remaining event details:
    • Event Title — name your SOAP interview event
    • Date and Time — set the interview day window
    • Interview Type — select Virtual or In-Person
    • Location — add if applicable
    • Event Status — toggle to Open when ready for applicants to schedule
    • Sign-Up Lock / Cancellation Lock — configure as needed (see notes below)
  2. Save the event.
  3. Once your SOAP applicants are invited (see Inviting SOAP Applicants), they will be able to see and schedule for these SOAP events.

Things to Know

Include spots for scheduling groups and tiers

Your SOAP calendar event must include spots for the applicants' scheduling group and tier. If spots are not configured, the program will need to manually schedule each applicant using the standard scheduling workflows.

Adjust your Sign Up Lock Interval

SOAP moves fast. The Sign Up Lock Interval on your Program page must be set within a timeframe that allows applicants to schedule on short notice — typically 1–2 days for SOAP events. If your lock interval is set to a longer window (e.g., 7 days for regular season), applicants may not be able to schedule for imminent SOAP interviews.

SOAP Reapply applicants who were previously imported into the Interview tab will automatically be assigned the same Tier and Scheduling Group they had during the regular season.
