Use tags in Cortex to organize applicants during application review.
1. What is the Cortex applicant tagging?
Cortex Applicant Tagging allows you to apply customizable labels to applicants throughout the review process. Tag names can be any sequence of numbers or letters.
Tags help your program:
Organize applicants by track, interest, or workflow
Highlight important applicant characteristics
Coordinate review activities across your team
Quickly revisit applicants later in the season
To keep tagging useful and consistent across your program:
Use clear, recognizable tag names
Avoid creating duplicate tags with similar meanings
Agree on common tag workflows across reviewers
Use colors consistently for easier scanning
Apply tags during review to avoid needing to revisit applicants later
| Note: Tags are shared across your program and visible to all program members who have access to applicants in Cortex. |

2. Before starting
Before using Cortex Applicant Tagging, make sure:
You have access to Cortex
You can view applicants within your program
Your program has applicant data available in Cortex
You have the appropriate permissions to create or manage tags, if needed
You can still apply and remove existing tags if you have applicant access, even if you do not have permission to create new tags.
3. Creating a tag
You can create custom tags directly in Cortex.
Tags include:
A custom name
A color label
Shared visibility across your program
To create a tag:
Navigate to Cortex
Select the Settings tab
Select the Add icon
Enter the tag name
Select a color
Save the tag
Note: Tags save immediately and become available across Cortex for your program. |
4. Apply tags to applicants
You can apply tags throughout Cortex while reviewing applicants. Tags are collaborative and update in real time for your program.
Tags are visible in the following areas of Cortex:
Applicant List
Applicant Details
Score Drawer
Selection Page
Bulk Actions
To apply a tag:
Open the applicant record or review page
Locate the tagging section
Select an existing tag or create a new one
Apply the tag
5. Removing tags from applicants
You can remove tags from applicants at any time. Users can also remove tags created by a different user. To restore a tag that was removed, simply re-add the tag to the applicant.
Removing a tag from an applicant does not delete the tag itself. The tag remains in the system and can be managed in Settings or in the Core Tags Manager even though a tag is removed from the applicant.
To remove a tag:
Locate the applied tag
Select the X beside the tag
The tag will immediately be removed from that applicant.
6. Filtering applicants by tags
You can filter applicants using one or more tags. Applicants with any selected tag will appear in the results.
To filter by tags:
Open applicant filters
Select the Tags filter dropdown
Select one or more tags
| Note: Tag filtering uses OR logic. Applicants appear if they contain at least one selected tag. |
7. Managing tags
Programs can manage existing tags within Cortex; they can manage their tags in the Tags menu, accessible under Settings -> Tags in Cortex, or in the Core Tags Manager.
Available management actions include:
Edit tag names
Update tag colors
Delete unused tags
| Note: A tag can only be deleted at the system-level if it is not assigned to any applicants. |
