Recalculating and Managing Additional Rank Lists

Programs have full control over their additional rank lists, such as recalculating the rank list order, adding or removing applicants at anytime, and updating the list settings. 

Any changes or actions taken on an additional rank list will impact only the rank list selected.
 

Managing the Additional Rank List Settings

Additional Rank Lists can be managed and updated at anytime.

  1. Click on the rank list tab you want to view and manage

  2. Click on the "gear" icon located in the upper right-hand corner

  3. Select "Edit Rank List" 

  4. The Rank List Details screen will appear

  5. In Step 1, any fields can be updated or changed

  6. Once all fields are updated, select "Next" until you reach Step 4

  7. Additional changes can be made in step 2 and 3 as desired (optional)

  8. In Step 4, select "Confirm"

Adding Applicants to an Additional Rank List from an Existing Rank List

Add applicants onto an existing additional rank list from any rank list.

  1. Select one or multiple applicants by checking the box next to the applicant name

  2. Click on “Actions”

  3. Select "Assign to Rank List" 

  4. The Rank List Details screen will appear
  5. Select the down arrow within the Additional Rank List field

  6. Select the rank list to assign applicants to

  7. Select “Save” to confirm

    Applicants will then be added and can be viewed on the assigned Additional Rank List.

Adding Applicants to an Additional Rank List from the Create/Edit Rank List Screen

Note: Applicants must have a minimum of one "overall score" applied to them to be added to any rank list.  

To add applicants onto an existing additional rank list, navigate to the Applicant Rank List Page

  1. Click on the rank list tab you want to view and manage

  2. Click on the "gear" icon located in the upper right-hand corner

  3. Select "Edit Rank List" 

  4. The Rank List Details screen will appear

  5. Select “next” to move onto Step 2

  6. Add any new applicants (with an overall score) to the rank list by selecting them in Step 2 and Step 3 as needed.

  7. Step 2: Assign by Scheduling Group or Tag (this will only add applicants currently assigned the specified scheduling group or tag)
    This step is option and can be skipped by selecting “Next”

    • Select any scheduling groups and/or tags to add all assigned applicants to the rank list (they must have an overall score assigned!)

    • Any applicants assigned to a scheduling group or tag AND has an overall score assigned will be added to this rank list (the original scheduling group or tag selection will need to be selected again in this step to update the newly scored applicants)

    • Select "Next" when complete

  8. Step 3: Assign by Individual Applicant
    This step is option and can be skipped by selecting “Next”

    • Select any individual applicants to add them to the rank list (remember... an overall score must be assigned!)

    • Select "Next" when complete

  9. Confirm applicants to be assigned to the rank list by selecting "Confirm"

IMPORTANT: When making changes to an additional rank list, no changes will be made to applicants who were previously added to the selected list.

Removing Applicants from an Additional Rank List

Applicants can be removed from an additional rank list. Removing applicants from a rank list will only apply to the specific rank list you are currently editing. assigned to an additional rank list are NEVER removed automatically
Note: This is true even if the scheduling group and/ or tag is removed from the applicant).

  1. Navigate to the rank list that you would like to edit

  2. Select one or multiple applicants by checking the box next to the applicant name

  3. Click “Actions”

  4. Select “Remove from this Rank List” 

  5. A confirmation window will appear.

  6. The selected applicants to be removed will be displayed

  7. Select “Confirm” to remove applicants from selected rank list

The Applicant(s) will be removed from the selected Additional Rank list. They can be re-added at anytime by following the “Adding Applicants to an Already Existing Additional Rank List” instructions.

 

Recalculating an Additional Rank List

NOTE: Recalculating any additional rank list will reset ALL APPLICANTS ranks within that specific rank list.  If an applicant is assigned to multiple lists, no other rank lists will be modified when recalculating.

When adding new applicants to a rank list, the newly added applicants will be added to the bottom of your rank list and ordered alphabetically. You have the option to recalculate all of the applicants in order for them to be ranked by score.

  1. Select the Rank List tab you wish to Recalculate

  2. Click the gear icon in the upper right-hand corner of the rank list

  3. Select the "Recalculate" button to reset all applicant ranks by overall score within that rank list. 

 

After recalculating the rank list, all applicants will be placed in rank order automatically by their overall score total. 

Changing the Order of Additional Rank Lists

Users are able to move the order of the Additional Rank List as well as the Default Rank List.  By clicking and dragging the name of the list, users may move the name tab to a new position so that lists may display in order of choice. 

Delete an Additional Rank List

An Additional Rank List can be deleted at any time. This action is irreversible and will automatically delete the list and remove all applicants from the selected rank list.

IMPORTANT:  Any additional rank list created will require a different name as the deleted rank list name may not be used twice.  A notification message will inform you to choose a different name for your additional rank list. 

  1. Select the Additional Rank List tab you wish to delete

  2. Click on the gear icon in the upper right-hand corner

  3. Select “Delete Rank List” 

  4. The Delete Rank List window will appear

  5. Click the box next to “Yes, I choose to delete this rank list [rank list name]”.

  6. Select “Confirm” to delete the rank list

The rank list and all applicants will be deleted and no longer displayed on the Rank List page.

Add or Remove Bookmark from Applicant on an Additional Rank List

Similar to the Default Rank List, applicants can be “Bookmarked” on an additional rank list. Selecting this action will only “bookmark” the applicant on that specific rank list and it will NOT change their bookmark status on any other rank lists.

  1. Select one or multiple applicants by checking the box next to the applicant name

  2. Click “Actions”

  3. Select “Bookmark” 

  4. The Bookmark screen will appear

  5. Select to “Bookmark” or “Remove Bookmark” from the applicant(s)

  6. Select “Save” to confirm

Applicants that have been “Bookmarked” are indicated by an orange Bookmark icon and can be filtered by selecting the drop down menu and selecting “Bookmarked”
