Cortex - Managing Applicant Assignments and Status

Program Directors, Program Administrators, and Program Coordinators have the ability to assign applicants to specific Program Interviewers as well as make changes to an Applicant's status within Cortex

Managing Applicants Assignments

Applications can be assigned to Program Interviewers by a Score Manager: Program Director, Program Administrator and Program Coordinator. Please note: Program Interviewers must first be added in Thalamus before they can obtain access to Cortex. See instructions on how to provide them with access here: Enabling Cortex for Program Users/Faculty – ThalamusGME.

1.  Navigate to the Assignment Tab from the top menu bar.
2. Locate the Applicant and click the "Assign +" button. This will open a drop-down menu with the option to assign the Applicant's application to one or more Program Interviewers. 
   
3. To assign in bulk, start by selecting the Applicants. Once selected, the "Bulk Assign" button will be enabled, allowing you to assign multiple Applicants to Program Interviewers at once.

Removing an Application Assignment

In the event that you assigned an application to the incorrect Program Interviewer or need to make a change, you are able to so.

1. Navigate to the Assignment Tab from the top menu bar.
2. To un-assign a Program Interviewer to an individual application, you will want to locate the Applicant and then the Program Interviewer from the list.
3. Then click the "X" icon to the right of the assigned Program Interviewers name.

Evaluations Page

The Evaluations page in Cortex is a centralized interface where Score Managers can view score submissions by Program Interviewer for each Applicant.

Final Decisions and Recommendations

Score Managers have the ability to view Applicant's statuses based on the Program Interviewers recommendations. There are 4 status options to select from and faculty interviewers should be informed on how your program would like to use these statuses in advance of reviewing applications:

1. Interview
2. Waitlist
3. On Hold
4. Reject

Applications Page

On the Applications page, the applicant status is located below the applicant's avatar. The box labeled "Overall Status" indicates the final application status for this applicant, and is only visible to Score Managers. The box labeled "My Recommendation" indicates the recommendation the Program Interviewer has selected for the Applicant.

Selections Page

On the Selections page. All Program Interviewer "Recommendations" appear to the right of the Applicant's final status. The "Final Decision" is shared by the Score Managers. Score Managers can select or change the final status.

Once a Final Decision is made, and the Program is ready to invite Applicants. Programs can "Send to Thalamus" Applicants that have a Final Decision status of "Interview". For additional details please review the Exporting Applicants From Cortex to Thalamus user guide.
