Using the mobile app for Program Administrators and Interviewers

The Thalamus web app is the core feature for managing you interview schedule within Thalamus.  It is available for download on Apple Store and Google Play. 

Note: When using the Thalamus Mobile app, please be sure that you have downloaded the most recent version before accessing your account.

Login

Login to the app by typing in your email and password associated with your Thalamus account. Select the "Sign In" button.

There are eight sections to view in the menu button. Select the menu by clicking the three bars at the top to access the different sections: 

             

  1. Calendar allows you to view all invites, scheduled, pending and waitlisted
  2. Profile will allow users to edit your profile information and upload a profile photo
  3. Settings allows you to enable biometrics for login (fingerprint or face recognition)
  4. Applicants allows you to view information on applicants to your program, as well as add scores and notes on them
  5. Video Conference allows you to access your itineraries and interviews on their scheduled date
  6. Help navigates you to view user guide articles or send a message to contact us
  7. Switch Role allows you to toggle between multiple roles (example: if you are a current applicant and also a residents helping your program during interview season)
  8. Sign Out allows you to sign out of the app

Please note: Thalamus Mobile Version allows you to view what version of the app you are currently accessing.

Calendar

Upon navigating to the calendar tab, you have the ability to toggle your view between List View or Applicant View.

List View

  1. Choose the "Calendar Icon" to display in calendar view
  2. See where sessions are scheduled by the colored dates below each date
  3. Select the date you would like to view in detail
  4. Program sessions scheduled for that day automatically filter to the top of the list
  5. If you wish to return to the current date, select "Today" button located in the right-hand corner at towards the bottom.

Applicant View

  1. Choose the "Applicant Icon" to display in applicant view.
  2. Select a date in the calendar to view all applicants scheduled for calendar events with your program that day. Selecting the right-pointing chevron will open their Applicant Information card.

Profile

From the menu button, select Profile.  Select one of two options:

  1. Change Password allows you to change your password to log in to Thalamus
  2. Edit Profile will allow you to The profile view will allow you to view and make the following changes to your profile: 
      • Upload Profile Photo
      • First and Last Name (required)
      • Email (required)
      • Phone Number
      • Degree

Make changes and click "Update Profile" at the bottom once complete

Settings

From the menu button, select "Settings"

  • Click on "Use Biometrics" to set up fingerprint or facial recognition.

Applicants

From the menu button select "Applicants" to access information on the program applicants. Please note that the applicants will only populate if your user rule has administrative rights (Program Administrator, Program Coordinator, Program Director) or if you are a Program interviewer.

Applicants can be searched by name via the search bar at the top of the page (1). Upon selecting an applicant record, the following information is visible:

Applicant Name (2)

Most Recent Medical School of Graduation (3)

AAMC ID number (4)

Email Address (5)

Contact Applicant (6): Opens your mobile device's default email application with the applicant's email address in the "To" field.

Enter Notes (7): Opens the Notes module, where comments and notes on the applicant can be submitted, edited, and viewed.

Score Applicant (8): Opens the list of scorecards available for this applicant.

Please note: Applicant information can also be accessed from the programs calendar event. 

Help

From the menu button, select "Help"

Switch Roles

From the menu button, select "Switch Role" if you are a member of several role groups.  

Sign Out

To sign out of the mobile app, select "Sign Out" from the menu screen.
