Navigating the Applicant Dashboard on the Web App

Navigate your interviews, invitations, surveys, and program communications from the Thalamus Applicant Dashboard on the web.


1. What is the Applicant Dashboard?

The Applicant Dashboard is your central hub for managing all recruitment activity in Thalamus. You can review and respond to interview invitations, track scheduled and upcoming events, complete surveys, sign program acknowledgments, and access details for your next session without navigating to separate pages.

The dashboard is organized into clearly labeled sections so you can quickly identify what needs your attention and stay informed throughout the recruitment season:

Dashboard Section Description
Invites
Review and schedule interview invitations.
Interview Events

View interview activity and status updates.

Social Events

Review upcoming and completed social sessions.

Next Session

Access details for your next scheduled event.

Surveys

Complete assigned surveys and track completion status.

Program Acknowledgments

Review and sign assigned documents and acknowledgments.


2. Invites

The Invites section displays interview invitations received from programs. You can review invitation details and take action by scheduling available interview sessions. Up to five pending invitations are displayed by default. Select Show All to expand the full list.

Selecting Schedule on a program invite will navigate you to the calendar to find a day and time that works for you.

3. Interview Events

The Interview Events section provides visibility into all interview-related activity and statuses. You can review scheduled, waitlisted, and completed interview events, along with details such as interview timing, event format, and itinerary availability.

Each event displays the event type, date and time, and where the interview is taking place, virtually, in-person, or a hybrid event.

The dashboard includes a condensed view with the option to expand to a full list by selecting View all Interview events.

The Itinerary column indicates whether a program has published an interview itinerary.

Itinerary Status Description
View

The itinerary is available to review.

Not Published

The program has not yet released itinerary details. Continue to monitor the event for updates as the interview date approaches.

N/A

Itinerary status is not applicable. This typically appears for waitlisted events.

 

A scheduling conflict indicator (⚠️) appears next to an interview date and time when two or more scheduled events overlap. This indicator is informational and does not prevent scheduling.

Note: The scheduling conflict indicator does not automatically resolve or cancel conflicting events. Applicants should review any conflicts and contact the relevant programs directly if assistance is needed.

 

Program information and additional actions can be accessed by selecting the three-dot menu next to each interview event.

Available actions include:

  • Viewing program details

  • Contacting the program

  • Accessing the email log and communication history

  • Withdrawing from a program

4. Social Events

The Social Events section allows applicants to stay informed about upcoming and completed social sessions associated with interview activities. This section displays scheduled, waitlisted, and completed activities, similar to the Interview Events section.

Each event displays the event type, date and time, and where the session is taking place, for example virtually or in-person.

The dashboard includes a condensed view with the option to expand to a full list by selecting View all Social events.

5. Next Session

The Next Session component highlights the next upcoming session or scheduled activity, helping you quickly prepare for interviews or events.

This section displays:

  • Session type and program name

  • Event date and time

  • A Join session button for virtual interviews

  • A View meeting details link for additional session information

6. Surveys

The Surveys section displays surveys assigned by programs and tracks their completion status. You can identify surveys that require action using the Pending tab and review previously completed surveys in the Completed tab.

Each survey card displays the survey name, program name, associated event, and survey type. Programs may configure surveys as Anonymous or Non-anonymous. When available, the survey type is displayed on the survey card. A Partially complete status appears for surveys that have been saved but not yet submitted.

Available actions on the Pending tab include:

  • Start — begin a new survey

  • Resume — continue a previously saved survey

Submitted surveys are moved to the Completed tab. Depending on how the survey was configured, you may be able to:

  • View previously submitted responses

  • Edit and resubmit an updated survey

7. Program Acknowledgments

The Program Acknowledgments section contains documents and acknowledgments shared by programs for your review and signature.

Select Review & sign to open and complete an assigned acknowledgment.

Note: Program Acknowledgments can only be completed on the Thalamus web experience at this time.

You can review assigned materials, complete acknowledgment requirements, and monitor acknowledgment status using the Pending and Completed tabs.

To view a completed program acknowledgment, toggle to the Completed tab.

8. Frequently asked questions

Question Answer
Why don't I see any interview invitations? Interview invitations appear after a program sends an invitation through Thalamus.
Why is my itinerary unavailable? Programs control itinerary publication. If an itinerary has not yet been released, it will display as unavailable until published by the program.
What does the orange icon next to my interview mean? The orange indicator signals a scheduling conflict — two or more of your scheduled events overlap. It is informational only and does not prevent scheduling. Contact the relevant programs directly if you need assistance.
Can I complete surveys from the mobile app? Yes. Surveys can be completed through both the web and mobile experiences when available.
Why don't I see any Program Acknowledgments? Program Acknowledgments only appear when materials have been assigned by a program, institution, or School of Medicine. Acknowledgments can only be completed on the Thalamus web experience at this time.
Does the dashboard update automatically? Dashboard information updates as invitations, events, surveys, and acknowledgments become available throughout the recruitment season.
