Individual Calendar Event Settings

This guide will provide details on the different settings that you can apply to a specific calendar event. Check out our guide Calendar Settings Overview for information on our global calendar settings. 

  1. Select the Calendar tab and this will bring up the current month calendar.
  2. Select the "Add Event" button to create a new event, or you can select your event day by clicking in the specific date.Event_Settings_1.png

 

Calendar Event Options

Below is a guide to all of the fields and options available to you within the calendar event:

Event Type - Select from Interview Events, Follow-up Interview Events, and Social Events.  See Creating Follow Up Calendar Events for Multiple Interview Days for more information.

Event Title - Event titles are viewable to program users only to allow program to customize event names.  Applicants will see the program name as the event title when invited.

Date – Select the date that the event will be taking place on.  There can be more than one event scheduled in a day.

Time – The time in which your event will run from the beginning to end.  Individual itinerary sessions can be built using the Itinerary Wizard or Itinerary Builder.

Interview Type - Programs can display how the interview day will be conducted by selecting an Interview Type.  See Calendar Settings Overview (Global Program Settings) to set the default setting. 

  1. Virtual
  2. In-Person
  3. Hybrid
  4. None - This can be selected if the program doesn't want any "interview type" displayed on the calendar event.  When "None" is selected, the Interview Type field does not display on calendar events.

Location – If you have a specific location for this event, you can enter it here. 

Private/Hidden Event – This allows the program to make the event private or hidden from applicants.

Event Status – This will allow the program to override the global event status on the program page. If turned on within the event it will allow the applicants to auto schedule themselves. If an event is marked as closed, the waitlist will be automatically disabled. 

Waitlist Status – The toggle determines whether the applicants can join the waitlist for an interview event. There are two options available:

  • Enabled – Allows applicants to add themselves to the waitlist. Notifications will be sent as positions open.
  • Disabled – Prevents applicants from adding themselves to the waitlist. If an applicant is already on the list, they will remain in their current position and can added/removed as necessary. Disabling also means that waitlist opening notifications will not be sent.

Sign-up Lock – The toggle controls the ability of the applicant to sign up for an interview event. There are three options available:

  • Locked – Prevents the applicant from signing up automatically for this specific interview event and will override the global event status set in the “Set Lockout Menu” section on the program page.
  • Unlocked – Allows applicants to sign up automatically for the specific interview event and will override the global event status set in the “Set Lockout Menu” section on the program page.
  • Default – Uses the global event status set on the program page under the “Set Lockout Menu” section.

Cancellation Lock – The toggle controls the ability of the applicant to cancel from an interview event. There are three options available:

  • Locked – Prevents the applicant from canceling for this specific interview event and will override the global event status set in the in the “Set Lockout Menu” section on the program page.
  • Unlocked – Allows the applicant to cancel for the specific interview event and will override the global event status set in the “Set Lockout Menu” section on the program page.
  • Default – Uses the global event status set on the program page under the “Set Lockout Menu” section.

Repeat Weekly – This allows the program to set up the same event type for the specific days of the week, until a specific date.

Event Description – The program can put a description of the event or any special information they would like to provide to the faculty and applicants. There are multiple formatting options including (but not limited to):

  • Text Styles (Bold, Italic, Underline Strikethrough)
  • Page Formatting (Numerical and Bulleted Lists, Indentation, Alignment)
  • Imbedded Links
  • Font (Change font, size, color, highlighting) Event_Settings_4.png

Attachments – Here the program can add an attachment that they would like faculty or applicants to view once they are able to view the calendar event. These attachments can vary from those entered on the program profile page or they can be added here instead.

There is an attachment size limit of 10MB.

Scheduling Group/Tier Distribution Setup – This is where you will list your available positions based on scheduling group and by tier. This number of spots available can be edited by entering the number or by using the arrows. Once all information has been entered, can select “Save” or if you change your mind you can select "Cancel".

If the “Save” button is greyed out that means that there is some information missing and must be entered before it can be saved.

Changes can be made to each individual setting based on the needs of the program for that specific event day. Please also remember that these individual settings will sometimes override your global settings from the program page.
