Managing Program Settings for Program Users

Configure calendar, interview, rank, and notification settings for your program.


1. Set Event Status

Event Status controls whether applicants can view open spots within an interview date.

Once an event is Closed, it appears full to all applicants, including those already signed up, even if others cancel. Applicants can still cancel their own interview unless the event has a cancellation lock enabled, but no one else will be able to take the open spot.

Program users can still manually schedule, cancel, and force-assign applicants to a closed event.

Note: Closing an event doesn't remove existing sign-ups. It only prevents new applicants from auto-scheduling into open spots, even after a cancellation.

 

Program users can close an event in two places:

Program page, under Calendar Settings
Calendar page, under Event Details

When to use closed events

• You do not want applicants signing up after an event fills, even if others cancel.
• You want to build additional interview options as a backup.
• You're creating events to release at a later time.


2. Use Private Events

Private Events, also called Hidden Events, controls whether applicants can view calendar events.

A Private Event will only appear on an applicant's schedule if you manually schedule that applicant to the event.

When to use private events

  • You are testing Thalamus Video

  • You are training interviewers on the platform

  • You are hosting rank meetings

  • You are hosting other internal meetings on the platform

4. Set the Interview Reminder email

The Interview Reminder email is an automatic reminder sent to applicants before their interview day. Programs can enable, disable, and customize this email, and set the reminder interval.

  1. Toggle the Interview Reminder button to Enabled to turn the email on.

  2. Toggle the button to Disabled to turn the email off.

  3. Set the Interview Reminder Interval to control how far in advance the email is sent.

Note: The Interview Reminder Interval has a default value, which you can change to meet your program's needs.

5. Set lockout intervals

There are two types of lockout intervals: Sign Up Lock and Cancellation Lock.

  • Sign Up Lock Interval sets the number of days before an interview date that an applicant can no longer sign themselves up for an event.

  • Cancellation Lock Interval sets the number of days before an interview date that an applicant can no longer cancel themselves from an event.

Programs can override either lock and manually schedule or cancel an applicant at any time, regardless of the interval set.

Note: Applicants who withdraw from your program within Thalamus are automatically removed from any pending scheduled events.

 

To set your lockout intervals:

  1. Select Program from the upper menu bar.

  2. Select Set Lockout Interval.

  3. Select Edit in the Set Lockout Interval module.

  4. Enter the number of days before each interview day you want the Sign Up and Cancellation locks to take effect.

  5. Select Save to keep your changes, or Cancel to discard them.

Important: Sign Up and Cancellation lock intervals apply to all interview events on your calendar until changed again.

 


6. Set the default interview type

Thalamus supports Virtual, In-Person, and Hybrid interview types. Setting a default automatically assigns that type to any new interview or social event you create. This setting only gives applicants more information about the interview day. It does not affect how the interview is conducted.

  1. Select your default interview type.

    • Virtual

    • In-Person

    • Hybrid

    • If you select None, no preference will be displayed on the interview event.

  2. Select Save to keep your changes, or Cancel to discard them.

Note: You can manually assign the interview type for an individual interview or social event while creating or editing that event on the Calendar page.

 


7. Connect your video software

If your program uses Thalamus Video, it should already be enabled in this section. If it isn't, or if you want to change your preferred video software, follow the steps below.

  1. Select Edit.

  2. Select the Video Software dropdown.

  3. Select Thalamus Video.

  4. Select Authorization.

  5. Select Save to keep your changes, or Cancel to discard them.

8. Set the Virtual Knock interval

Programs using Thalamus Video can enable an automatic Virtual Knock, a banner notification sent near the end of a virtual interview session to let participants know time is almost up.

The interval you set counts backward from the end of the meeting. For example, if you set it to 5 minutes, the banner appears when 5 minutes remain and reads, "You have 5 minutes left of this meeting."

Note: Changes to the Virtual Knock interval apply only to newly created sessions. Existing sessions aren't updated.

9. Configure rank settings

Thalamus supports two rank types:

  • Regular Rank orders the list so the applicant with the highest score is ranked first (Rank #1).

  • Golf Rank orders the list so the applicant with the lowest score is ranked first (Rank #1), following the scoring principle used in golf.

Note: An applicant must have at least one overall score to be added to a rank list.

 

To set your rank type:

  1. Select Program from the top menu bar.

  2. Select Rank Settings from the left-hand menu.

  3. Select Edit in the top-right corner.

  4. Select your rank type from the Rank Type dropdown.

  5. Select Save to keep your changes, or Cancel to discard them.

Important: Editing your rank settings applies to all of your rank lists and immediately updates your entire automatic rank list. To apply the new settings to an existing list, recalculate that list individually. Manually ranked applicants aren't affected.


10. Manage other settings

Program Administrators, Coordinators, and Directors can enable or disable the Daily Digest email for the entire program from Other Settings.

  1. Select Program from the top toolbar.

  2. Select Other Settings from the left-hand menu.

  3. Select Edit.

  4. Select the toggle under Notifications to enable or disable the Daily Digest email.

  5. Select Save to keep your changes, or Cancel to discard them.

Important: Disabling the Daily Digest email stops notifications for all users associated with your program. Enabling it resumes notifications for all users who have this setting turned on in the Administration page or their user profile.
